Assistant Medical Secretary

To be considered for the role you must have NHS PAS systems knowledge and experience

Do you have experience of providing administrative and secretarial support within clinical areas? If so we are currently looking to speak with Band 3 Assistant Medical Secretaries who are now looking for their next assignment to offer support to the Gynaecology unit for one of Manchester NHS trusts for an initial 12 week period but could be extended beyond that point.

Duties:

  • Assist in providing a secretarial service, including typing correspondence and reports, including the transcription and management of audio sources (eg. Tapes, digital, voice recognition etc.) supporting the use of clinical and corporate systems as appropriate (eg. Data input, work processing, spreadsheets, presentations etc.)

  • To contribute best practice and assist in developing working practices in the unit/ team to deliver an efficient and effective administration service, ensuring Trust priorities including 18 week pathway, and 31 and 62 cancer pathways

  • To prioritise and allocate work resulting from opening and actioning of mail

  • To arrange procedures, investigations, appointment and admissions and where appropriate to the Speciality, maintain waiting lists using initiative and judgement, working to Trust priorities and deadlines including patient pathways, liaising with departments and external bodies as appropriate

  • To assist in the complaints resolution procedure as appropriate

  • Telephone management of a sensitive, confidential nature

  • Take minutes and arrange meetings, preparing appropriate paperwork as required

  • Maintain diaries, including theatre diaries where necessary

  • Assist in the maintenance of office filing systems. Photocopying, duplicating and filing as required

  • Contribute to the maintenance of appropriate stock and non-stock items

  • Maintain diaries and waiting lists as appropriate to the speciality, cancelling and rebooking appointments a necessary

  • Distribution and sending of post

  • Retrieving and storage of information, files, medical records and x-rays

  • Fax documentation to GP Surgeries, wards and departments as required by the medical/nursing team, ensuring adherence to the Caldicott Guidelines.

  • Ensure that the Trust Customer Care Standards are strictly adhered to
