About the role

The Business Operations Executive is responsible for assisting the Managing Director with facilitating the company's client and customer facing sales and business operations activity together with general office administration. Ensuring that sales enquiries are handled and processed from first contact to a completed project in a professional and timely manner is a key part of the role and full training will be provided.

This is a pivotal position reporting to the Managing Director with responsibilities including but not be limited to:

  • Sales Enquiry Handling - Phone & Email as the first point of contact. Taking and recording client / customer details, advising on the services we provide and the plans and information we require in order to be able to provide accurate and timely quotations / tender responses.
  • Database entry & maintenance - B2B, B2C, Suppliers. Entering new enquiries and B2B prospects into the company's on-line sales database, creating job files on the server and ensuring that the database is properly maintained with regard accuracy and specific activity notes.
  • Scheduling - Managing the schedule & operations workflow. Booking Surveys, Installation & Maintenance visits as required during the Sales, Installation and After Sales process.
  • Sales Support - Project file management, liaising with clients and suppliers by phone and email to facilitate quotations.
  • After Sales - Receiving post install files from the Technical Dept, printing out, collating and packaging Handover / O&M (Operation & Maintenance) Packs and sending out physical and Electronic PDF copies to clients & customers.
  • General office administration - Assisting the MD to ensure that the office runs as smoothly as possible with responsibilities to include: Stationery re-ordering, postage collection, maintaining the physical filing and archive system, liaising with Accounts Dept, supervising deliveries, travel & accommodation booking etc.
  • Customer Mailings - Assistance with preparing and sending E Mail outs & Newsletters. Good operational knowledge of suitable mail out software to facilitate regular company newsletters and targeted marketing mailings.
  • Website & Social Media updating - using the company's CMS - Content Management System to update our published information.

About you:

We're looking for someone who can grow into the role and become a pivotal member of the team so while you don't need to have experience of industry having an interest will certainly help.

We'll provide you with training on the technical side of things but you'll need to have a solid base of experience within an office environment, preferably something involving speaking directly to clients.
