Engineering Administrative Assistant

We are recruiting on behalf of a client of ours based in Port Talbot, South Wales, for two Administrative Assistants to join the existing Engineering team. The business is one of Europe's leading steel producers, with locations throughout the UK, as well as manufacturing plants across Europe.

The purpose of the position is to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to managers and employees, assisting in daily office needs and managing the organisations general administrative activities.

Accountabilities

· Organise and schedule meetings for local management

· Plan meetings, take detailed minutes capture actions and communicate

· Write and distribute email, correspondence memos, letters and forms

· Assist in the preparation of regularly scheduled reports & presentations

· Support management with various data analysis requirements

· Maintain multiple filing systems

· Update and maintain office policies and procedures

· Order office supplies for multiple local departments

· Maintain personnel contact lists for local areas

· Act as the point of contact for local personnel (and visitors to the area)

· Provide general support to visitors - to include hospitality/refreshments

· Liaise with senior administrators to handle requests and queries from management

Requirements

· Proven experience as an office administrative assistant

· Knowledge of office management systems and procedures

· Working knowledge of office equipment, e.g. printers and photocopiers

· Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

· Knowledge of O365 SharePoint and MS Applications such as One Note and Teams, would be an advantage

· Shorthand/ typing skills would be an advantage

· Excellent time management skills and the ability to prioritise work

· Attention to detail and problem solving skills

· Excellent written and verbal communication skills

· Strong organisational skills with the ability to multi-task
