Working on site with a corporate client


Our client, a facilities services provider is seeking to hire an experienced Facilities Administrator to work on a client site for a large corporate building in Dublin 2.  The ideal candidate will have experience in maintenance scheduling for facilities, PPM administration etc. You will support the maintenance services area, dealing with technicians and facilities teams, reporting to the Contracts Manager.



To support Technical Team

-    Support, optimise and maximise efficiency by bundling similar work activities at specific time

-    Track and follow up on maintenance recommendations

-    Ensure maintenance tasks are schedule within agreed Service Levels

-    Assist Technicians in sourcing and organising parts

-    Act as point of contact for Maintenance services Clients, ensuring reports are issued to agreed Service Levels

-    Prepare client quotes for follow up works

-    Ordering consumables


To support Contract Manager and Facilities Team

-    Preparation for Client Monthly meeting including drafting the presentation with appropriate data

-    Organise and maintain site specific files

-    Raise Purchase Orders for approval by the Contract Manager

-    Draft Supplier Level Agreements for approval by the Contract Manager

-    Coordinate Sub contractor maintenance visits with Supplier, Engineer and Client requirements

-    Take on ad hoc projects and tasks, as and when required

-    Maintaining various databases

-    Ad hoc reporting and collating information for analysis

-    Managing calendars for support cover

-    Financial reporting

-    Managing training matrices

-    Management of uniforms and work wear
